Privacy Statement: Events, Newsletters Mailings

Port of Antwerp-Bruges NV (public limited company) under Public Law (Port of Antwerp-Bruges), Port of Antwerp-Bruges International NV (POABI), Antwerp/Flanders Port Training Center NPO (APEC), Railport Antwerpen NV (Railport) and Nationale Maatschappij der Pijpleidingen NV (NMP) (hereinafter referred to as "the joint controllers", "we" or "us") attach great importance to the protection of personal data. Personal Data are all the information about an identified or identifiable natural person (hereinafter the "data subject", "you", or "your").

 

We will always protect your personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation or GDPR) including any applicable current or future national or international legislation implementing or replacing the GDPR (hereinafter collectively "Applicable Privacy Legislation").

 

This notification on the processing of your personal data (hereinafter "Privacy Statement") was drawn up to clearly inform you about the processing of your personal data and your rights as a data subject. As such, please read this document thoroughly and contact us if you have any questions via the contact details in section 9 below.
 

1. Application of this statement

This privacy statement applies to the processing of personal data of the following categories of data subjects:
 

  • Individuals who sign up for newsletters
  • Individuals who register to receive event invitations
  • Individuals who register for events
  • Users of Port of Antwerp-Bruges applications who receive newsletters

To the extent that the processing of personal data is a contractual or legal obligation and the data must be provided by the data subject, the data subject is obliged to provide the personal data.

4. Source of personal data

4.1 The joint controllers process the personal data they receive directly from you.

5. Categories of recipients

In accordance with the Applicable Privacy Legislation, your personal data may be shared with: 

  • Regulatory and enforcement authorities 
  • Affiliated companies of Port of Antwerp-Burges
  • Co-organisers of events

6. International transfers

In the event that we transfer your personal data to a third country or international organisation (meaning outside the EEA), we will ensure that your personal data is either only transferred to third countries that have been deemed to provide an “adequate” level of protection by the European Commission (a list of adequate third countries is available on the European Commission’s website), or if your personal data is not transferred to a country that provides an adequate level of protection, we will put in place appropriate safeguards (for example, entering into EU Model Clauses or Binding Corporate Rules with the recipient and implementing any necessary supplementary measures) to ensure that your personal data continues to be protected in accordance with Applicable Data Protection Law.

7. Retention period

We will retain your personal data for no longer than is necessary for the purposes for which it was collected as set out in the diagram above (Section 3). 

 

More specifically, the personal data mentioned above is kept for a period of five years from the day the data is stored in our systems. 

 

If someone doesn't respond to five event invitations, they are considered inactive. Every year, we review who is no longer active. Unless they become active again in the meantime, their email address will be deleted after two years, regardless of the previously mentioned 5-year retention period.

8. Your rights as a data subject

In accordance with the Applicable Privacy Legislation, you may exercise the following rights (if and to the extent applicable):
 

  • You can request access to and receive a copy of any personal data we have processed concerning you;
  • You can also request that your personal data that is incorrect or incomplete be corrected or completed;
  • You can request that your personal data be deleted;
  • You can object to the processing of your personal data, request that we restrict the processing of your personal data or request the portability of your personal data.
  • You can also object, free of charge, to the processing of your personal data for direct marketing purposes by contacting Port of Antwerp-Bruges at the address below or by using the unsubscribe link in any direct marketing communication.
  • If we collect and process your personal data with your consent, you can withdraw your consent at any time. Withdrawing your consent does not affect the lawfulness of any processing based on your consent before it is withdrawn.
